We are currently hiring three management assistants to work in the faculties' units, providing operational support to the management and especially to the unit heads in the Faculty of Social Sciences (SOC), the Faculty of Engineering and Natural Sciences (ENS), and the Faculty of Medicine and Health Technology (MET). The management assistant plays a key role in ensuring that preparatory, coordination, and administrative tasks that support daily operations proceed smoothly and on time, even in changing and unpredictable situations. The position is administratively part of the Operations and Administrative Services unit, but the work is carried out in collaboration with faculty management, unit heads, teaching and research staff, and service experts. Management assistants form a team working closely together and acting flexibly. Job Description As a management assistant, your tasks include diverse support duties for university management and providing guidance and advice to faculty staff. You will primarily support the daily work of the unit heads. The role is new and will be shaped more precisely according to the needs of the faculty and units. You will handle scheduling and meeting management, prepare resource agreements, process electronic signature requests, and take care of document archiving and case management. You will actively participate in organizing and coordinating events and meetings, as well as internal and external communication within the faculty. Your duties will also include other support tasks for leaders and managers as needed and appropriate. The work emphasizes readiness to handle varied and sometimes unpredictable tasks. Additionally, your responsibilities may include services related to travel arrangements. Requirements We require suitable education (e.g., Bachelor of Business Administration or secretary), good customer service skills, and fluent Finnish and good English language skills. The role also requires the ability to work in a team, ensuring flexible delivery of management support services. As an employee, you enjoy service-oriented tasks and organizing practical matters. You can work efficiently in changing situations and manage multiple tasks simultaneously. The role requires initiative, a service-minded attitude, good problem-solving, collaboration, and organizational skills, resilience under pressure, and the ability to use various information systems and familiarize yourself with university processes. Previous experience in similar assistant roles and knowledge of university information systems are considered an advantage.
