Executive Assistant

Executive assistant role supporting the leadership of Helsinki’s Social Services, Health and Rescue Department. The position is initially fixed-term with a view to permanent from 1 October 2026 or as agreed. Responsibilities include administrative customer service, coordination of clerical processes, meeting and seminar arrangements, financial management tasks, contract management and HR administration support, and guidance on system usage. The successful candidate will handle confidential information with care and communicate clearly with diverse stakeholders. The role involves collaboration with the Director of Family and Social Services and other internal and external partners. Worksite is in the Kalio office, Toinen linja 4 A, Helsinki. Experience with MS Office and multiple Helsinki city information systems (Ahjo, P2P, Bosti, Valtti, Sarastia, Helbit, Onni, Timecon) is expected. Proficiency in English is required; Swedish and other languages are advantageous. Requirements include independent work attitude, strong stress tolerance and organizational skills, customer service orientation, multi-tasking ability, and IT competence. Prior experience in HR, finance or general administration is preferred. The contract follows HYVTES (Wellbeing sector).
