About the role

About the Role We are looking for a Jewelry Operations Executive who combines a passion for jewellery with a strong process-driven mindset. You will play a central role in managing end-to-end coordination across manufacturers, customers, and internal teams, ensuring every order moves seamlessly from pre-purchase to final delivery. Your north star: driving precise, timely, and scalable order execution across the entire lifecycle. Key Responsibilities 1. Quotation & Pre-Sales Execution • Calculate and share accurate customer quotations within defined TATs • Ensure speed and responsiveness, as this directly impacts conversion rates 2. Order Creation & CAD Management • Raise CAD requests and purchase orders with manufacturers • Review and approve CAD files, ensuring alignment with customer requirements before production • Identify and flag discrepancies or potential issues early to avoid rework • Organise and maintain all CAD files systematically for easy access and traceability • Ensure timely receipt of CADs from suppliers and follow up proactively to prevent delays 3. Order Tracking & Coordination • Manage end-to-end order timelines, from confirmation to delivery • Coordinate closely with manufacturers, QC teams, and logistics partners • Follow up on key production milestones to ensure timelines are met 4. Exception Handling & Problem Solving • Manage remakes, repairs, resizing, and order modifications • Handle customer escalations with a solution-oriented approach • Resolve issues proactively to minimise delays and impact 5. Systems & Data Accuracy • Maintain accurate, real-time updates across all systems and trackers • Ensure complete visibility of order status at every stage 6. Process Improvement • Identify gaps, inefficiencies, and recurring issues • Suggest and implement process improvements to drive scalability and efficiency What We’re Looking For • 3+ years of experience in operations, preferably in a high-volume or fast-paced environment • Strong Excel / Google Sheets proficiency — ability to build and manage complex trackers, formulas, and reports with ease • Highly data-driven — comfortable analysing operational data to track performance, identify patterns, and make informed decisions • Strong numerical and calculative aptitude — able to accurately compute quotations, margins, and order metrics • Proven track record in operationally heavy roles with hands-on coordination, order management, or supply chain experience • Experience in jewellery, diamonds, or luxury goods is preferred — but not mandatory • Strong interest in jewellery and the luxury goods industry • Ability to think critically and learn quickly in a fast-paced environment • Comfortable working with technology, tools, and data on a daily basis • Clear and confident communication skills • Highly organised and detail-oriented • Proactive mindset with strong ownership of tasks and outcomes Who Should Apply We’re looking for individuals who bring both mindset and curiosity: • Passionate about the jewellery / diamond / luxury goods industry • Tech-forward and process-oriented • Thrive in a fast-moving, detail-driven environment • Eager to learn, take ownership, and grow within operations What Success Looks Like • Orders move smoothly with minimal delays or errors • Customers have a clear, reliable, and positive experience • Operations become more efficient and scalable over time • Issues are anticipated and solved proactively, not reactively
