About the role

Customer Service Representative / Office Clerk Turun Tyhjennyspalvelu seeks a responsible and proactive customer service and office worker to handle customer inquiries, assessment visits, order coordination, invoicing and payment tracking. The role covers the whole process from the first customer contact, scheduling work, monitoring completion, invoicing and ensuring payments. The job starts once a suitable candidate is found. Key tasks include answering customer calls, replying to emails and messages (including Tor.fi messages and contact forms on the website), mapping customer needs and collecting required information, arranging and conducting assessment visits at customers’ premises, assessing and pricing scope of moving and clearance work, drafting, sending and following up on proposals, recording and scheduling orders, communicating work orders, schedules and customer instructions to contractors, maintaining ongoing contact with contractors, tracking progress of work and ensuring contracted obligations are fulfilled on time, keeping customers informed about schedules, progress and changes, drafting, sending and administering invoices, reconciling payments with invoices, following up on unpaid invoices, managing customer invoices, payments and outstanding receivables, collecting, organizing and delivering accounting documents (receipts, vouchers) to the company bookkeeper, documenting orders, invoices, payments and customer matters appropriately. Contacts are moderate: about 20 inquiries per day on average. The role also includes assessment visits, order coordination, invoicing, payment tracking and closing ongoing matters. Requirements include excellent Finnish in speaking and writing, good English, strong motivation, responsible and committed work attitude, ability to work independently and complete tasks without constant supervision, punctuality and ability to handle all tasks, contacts, invoices and deadlines on time, ability to ensure agreed matters and contractual obligations with customers and company are fulfilled, good cooperation and coordination skills with contractors, carefulness and focus, ability to handle customer data, prices, schedules, invoices and payments without errors, ability to manage multiple open matters so nothing is left unfinished, customer-service orientation, good manners and calm working style, good basic IT skills (email, Excel and invoicing software), driving license B and access to own car is required, residence in Turku or nearby, initiative and problem solving, and the ability to make sensible decisions related to work tasks. Assessment visits take place at customers’ premises within about a 70 km radius of Turku city center. Valuable prior experience includes handling inbound customer phone calls, multi-faceted customer service tasks, office duties, order processing or scheduling, invoicing, payment tracking, accounts receivable or bookkeeping materials. We offer remote work: all tasks except assessment visits are done from home, flexible hours around 30–35 hours per week, opportunity to increase hours as workload grows, one-month probation, possibility of permanent employment after the probation, and an immediate start when a suitable candidate is found.
