UNDP Honduras, through the Operations Unit within the Country Office, provides administrative, financial, logistical, procurement and resource management support to programs and projects to ensure timely, efficient services aligned with institutional norms and procedures. The Administrative area requires the support of an Administrative Assistant to contribute to daily processing of procedures, administrative services, logistics coordination and handling of internal and external user requests. Responsibilities include offering timely, efficient administrative support to the Country Office’s internal and external clients, ensuring quality, accuracy, confidentiality and compliance with institutional procedures; maintaining updated files on waivers, permits, asset transfers and other administrative processes; coordinating delivery and receipt of correspondence and official documents with government ministries and other relevant entities; supporting travel information, approvals and claims in line with UN travel rights; preparing and following up on waivers of goods for the Country Office and projects; supporting other administrative activities including micro-purchases; contributing to knowledge sharing and continuous improvement in administrative services. The role involves participating in induction activities, facilitating practical information for users, and engaging in internal knowledge networks. The incumbent will perform other duties as needed for the Office and Organization. Responsibilities
- Provide timely, efficient administrative support to the Country Office's internal and external clients, ensuring quality, accuracy, confidentiality and compliance with procedures.
- Register, coordinate and monitor purchase order exemptions before authorities, providing up-to-date information to internal users and promoting transparent, traceable management.
- Prepare, present and follow up on dispensation of goods procedures for the Country Office, projects and other agencies as applicable.
- Maintain an updated digital file on waivers, permits, transfers, exemptions and other admin processes per organizational guidelines.
- Manage delivery and receipt of correspondence and official documents with ministries, government institutions and other relevant entities, including diplomatic procedures and visas.
- Support travel information, approvals and claims in system in accordance with UN travel rights, ensuring direct routes and competitive prices.
- Support other administrative activities including micro-purchases related to country office operations.
- Contribute to knowledge creation, exchange and application in the Country Office, promoting learning, collaboration, and continuous improvement.
Requirements
- High School diploma or equivalent
- Bachelor's degree in Economics/Administration or Engineering is a plus but not required
- Minimum 4 years of national administrative experience with high school education or 1 year with a bachelor's degree
