About the role

ReOrbit is looking for an Executive Assistant to join our team and provide high quality administrative and organizational support to the CEO. As our Executive Assistant, you are highly organized, proactive, and discreet. You thrive in a fast-paced environment, enjoy juggling multiple priorities, and have exceptional attention to detail. You are an excellent communicator who can anticipate needs, coordinate across teams, and keep things running smoothly behind the scenes. Responsibilities - Manage the CEO's calendar, scheduling meetings and ensuring effective prioritization of competing demands. - Coordinate domestic and international travel arrangements, including flights, accommodation, visas, itineraries, and expense reporting. - Organize internal and external meetings, preparing agendas, taking meeting notes when required, and following up on action items. - Handle day to day correspondence, emails, and administrative requests on behalf of the CEO where appropriate. - Prepare presentations, documents, reports, and meeting materials using information provided by the CEO and leadership team. - Coordinate logistics for board meetings, leadership meetings, customer visits, and company events. - Support invoice administration, expense management, and other administrative processes. - Act as a key point of contact between the leadership team and internal and external stakeholders, ensuring timely communication and professional representation. - Maintain confidential information with the highest level of discretion and professionalism. - Assist with document management, filing and maintaining organized records. - Support ad hoc administrative tasks and projects as required. Skills and Requirements - 5+ years of experience as an Executive Assistant or in a similar administrative support role. - Experience supporting senior executives in a fast paced environment. - Outstanding organizational and time management skills with the ability to manage multiple priorities simultaneously. - Excellent written and verbal communication skills in English. - Strong attention to detail and a proactive, solution-oriented mindset. - High level of professionalism, discretion and integrity when handling confidential information. - Proficiency with the modern collaboration tools. - Flexible, adaptable and comfortable working in a dynamic, high-growth environment. - Experience working in a technology, aerospace, or international company is an advantage.
